Executive Assistant to the Chief Operating Officer

We are seeking an experienced and outstanding Executive Assistant to the Chief Operating Officer to manage processes and approaches to achieve the company’s strategic plan, support the office’s leadership functions for hiring and staffing, facilitate vendor and partner communications and help with the overall operations of the company. The qualified candidate can think critically, act quickly, communicate effectively at all levels, and is a team player willing to fill in wherever an extra hand is needed.

D3 was founded by world-class researchers from NYU and MIT, and it is developing a revolutionary data collection and analysis platform that will disrupt longitudinal research. Key Duties and Job Responsibilities

Duties include but are not limited to the following:

Provide Administrative Assistance

  • Manage an active calendar of appointments, including occasional travel planning as well as more frequent coordination of schedules with other executives and their calendars.
  • Prepare agendas, coordinate and prepare for meetings and teleconferences.
  • Compose and prepare correspondence.
  • Review incoming reports, scan and file documents, maintain confidential executive files.
  • Help with expense tracking and provide assistance in payroll and invoice processing as needed.
  • Support continuous lines of communication so COO can keep the President, the Founders and Executive Board informed of all critical issues.

Conduct Research

  • Conduct market research and prepare statistical reports that are used by executives to make business decisions.
  • Provide support to other roles and functions within the business that may require research and reporting.
  • Work with Microsoft Office Suite, Cloud-based files & tools, and encryption applications.
  • Create and modify documents, presentations and databases.

Act as a Gatekeeper

  • Articulate core goals, values and needs of both the company and the COO.
  • Manage temperaments internally and externally and do so in a start-up environment culture.
  • Prioritize meetings, facilitate follow-up, and marshal other resources as needed to maximize daily productivity.

Supervise and Train Clerical Staff and Related Office-wide Tasks

  • Maintain office supplies inventory.
  • Follow and carry-out onboarding checklist for new hires.
  • Train staff, provide orientation assistance, and integrate new employees with team.
Requirements
  • Bachelor’s degree.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • High level of professionalism and demonstrated ability to handle and treat confidential information accordingly is crucial in this role.
  • Able to effectively manage multiple projects, competing demands, focus on key priorities in a fast paced environment.
  • Can operate independently and remotely from a supervisor as needed.
  • Advanced PC skills in Microsoft Office, including Word, PowerPoint and Excel.
  • Use of Social Media.
  • Excellent verbal and superior writing skills are essential.
  • Prior experience supporting a C-level fast paced executive.
Preferred skills and/or experiences
  • Company startup experience.
  • Familiarity with academic institutions and/or research projects, and specifically, prior experience working with NYU is a plus.
  • Familiarity with healthcare, medicine, education a plus.
  • Familiarity with or work experience at technology firms a plus.
  • Demonstrated interests in privacy/security, philanthropy and/or innovation/exploration.
